Fire Door Range

Privacy Policy

Last updated: January 2025

1. Who We Are

Fire Door Range ("we", "our", "us") is a UK-based supplier of fire doors and related products. We are committed to protecting your privacy and handling your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What Data We Collect

We may collect the following personal data when you use our website or place an order:

  • Identity data: Name, company name
  • Contact data: Email address, phone number, delivery address
  • Transaction data: Order details, payment information (processed securely by Stripe — we do not store card details)
  • Technical data: IP address, browser type, pages visited (via cookies and analytics)
  • Communication data: Messages sent via our contact form, email, or AI chat assistant

3. How We Use Your Data

We use your personal data to:

  • Process and fulfil your orders
  • Respond to enquiries and quote requests
  • Send order confirmations and delivery updates
  • Improve our website and customer experience
  • Comply with legal obligations

4. Legal Basis for Processing

We process your data under the following lawful bases:

  • Contract: Processing necessary to fulfil your order
  • Legitimate interest: Improving our services and responding to enquiries
  • Consent: Marketing communications (you can opt out at any time)
  • Legal obligation: Tax records, regulatory compliance

5. Third Parties & Data Processors

We do not sell your personal data. To run our website and fulfil orders, we rely on a small number of trusted service providers ("data processors") who process personal data on our behalf, under contract and only on our instructions:

  • Supabase: Database and file storage for enquiries, quotes, and order records (hosted in the EU/London region)
  • Stripe: Secure card payment processing (PCI-DSS compliant — we never store your full card details)
  • Resend: Sending transactional emails such as order confirmations and quote responses
  • Anthropic: Powers our AI chat assistant — messages you send in the chat may be processed to generate a response to your query
  • Vercel: Website hosting and infrastructure
  • Google Analytics: Anonymised usage analytics, used only where you have given cookie consent
  • Delivery partners: Freight and courier companies, where needed to fulfil and deliver your order

We may also disclose personal data where required to comply with a legal or regulatory obligation.

6. International Data Transfers

We aim to keep personal data within the UK and European Economic Area (EEA) where possible — for example, our Supabase database is hosted in the EU/London region. However, some of our processors (such as Stripe, Anthropic, Vercel, and Google) may process data outside the UK/EEA. Where this happens, the transfer is protected by appropriate safeguards recognised under UK GDPR, such as a UK adequacy decision or Standard Contractual Clauses, so that your data continues to receive an equivalent level of protection.

7. Data Retention

We keep your personal data only for as long as it is needed:

  • Enquiry, quote, and order records: Retained for as long as we have an ongoing business relationship with you, and afterwards for as long as we are required to keep them to meet our legal, tax, and accounting obligations (financial records are typically kept for 6 years as required by HMRC).
  • Contact & chat messages: Retained for as long as needed to handle your query and any related follow-up.
  • Analytics & marketing data: Retained in line with the consent you have given, and only for as long as that consent remains in place.

When personal data is no longer needed, we securely delete or anonymise it.

8. Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Request erasure ("right to be forgotten")
  • Restrict or object to processing
  • Data portability
  • Withdraw consent at any time

To exercise any of these rights, contact us at fdoorrange@gmail.com. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk — though we would appreciate the chance to address your concerns first.

9. Cookies

Please see our Cookie Policy for details on how we use cookies.
